The renewal that nobody knew about

An annual subscription lapsed because no one knew it existed. The service was critical to daily operations.

    The Setup

Emma ran a digital marketing agency. Her team of five used a variety of tools – scheduling software,

design platforms, analytics tools. Emma set them all up, paid for them annually, and managed the renewals.

One tool in particular was critical: their client reporting dashboard. Every client report went through it.

    The subscription renewed every October.

    What Happened

Emma was in a car accident in September. She recovered fully, but was out of action for three weeks.

The dashboard subscription renewal email went to her inbox. Nobody saw it.

    The cascade:

  1. The subscription lapsed on October 1st
  2. The team couldn't generate client reports
  3. Three clients had monthly reviews that week
  4. The team had to manually create reports, taking 10x longer
  5. Two reports were late; one client complained formally
  6. The Recovery

When Emma got back, she renewed the subscription immediately. But the damage was done.

One client questioned whether the agency was organised enough to handle their account.

The irony? The subscription cost £80/year. The lost time and reputation damage cost far more.

    The Lesson

This wasn't about money. It was about knowledge. Emma knew about the renewal. Nobody else did.

    WilPlus® would have captured:

  7. All subscriptions and renewal dates
  8. What each tool does and why it matters
  9. Who to contact if there's a problem

  11. Small things become big things when you're not there to handle them.
